Non-Academic Hiring: Equal Opportunity Checklist

  1. To Initiate Advertising: Complete Advertising/Recruitment Plan.
    • Attach purchase requisitions for all paid advertising and forward to the EO office (158 Services Building) with the completed Advertising/Recruitment Plan
      • Attach a copy of the full advertisement.
      • Extended advertisements (other than the template) should use the more extended version of the AA/EO statement listed in the directions of the plan.
      • Attach to this form the criteria for differentiating among applicants (i.e., what will you take into consideration other than what was stated in the advertisement).
    • Consider expanding outreach and recruitment efforts to any underrepresented groups in determining advertising sources.
    • Make every effort to put together a diverse search committee.
    • The EO office will notify Search Committee Chair once the plan is approved and signed, and EO will provide a copy to the Search Committee Chair.
    • EO office will send a memo to the Search Committee Chair with the two subsequent forms that EO will need through the hiring process. (Non-Academic Position Memo).
  2. Voluntary Self-Disclosure Forms: To collect pertinent data needed for NMU's federally required affirmative action plans, applicants are invited to disclose their ethnicity, gender and veteran status.
    • Applicants are invited to submit electronically the form while accessing the application on-line (See instructions to application form on Human Resources website).
  3. To Begin Interviewing: Complete the Authorization to Interview Form and submit it to EO after obtaining appropriate signatures (Director/Department Head/Dean).
    • Request updated statistics on the composition of the applicant pool from EO and include them on this form. Alternatively, list the total number of applicants and leave the rest of that portion of the form blank and EO will complete that portion of the form as part of the approval process.
    • Provide the reasons why some applicants are not being interviewed (e.g., failed to meet minimum job requirements, lack of pertinent experience, etc.)
    • For interview question do's and don'ts, consult the Pre-Employment Inquiry Guide published by the Michigan Department of Civil Rights.
  4. To Make a Job Offer: Complete the Final Hiring Report and submit it to EO after it is signed by the Director/Department Head/Dean.
    • In this report, explain why those interviewed were not selected and state the basis for the decision to select the top candidate.
    • Obtain anticipated salary information for non-represented and administrative/professional positions from the Director of Human Resources (if recommended starting salary is above the minimum of the salary range).
    • EO will notify the department when the report is approved and signed, and will provide a copy of the completed report.
